How to Theme Your Space on a Budget

Theming an entire office can be a daunting prospect financially, especially if you’re a new grad or if you’ve just opened your first business. But trust us when we say we have something for everyone – and something for all budgets. All of our themed elements are custom built so prices vary depending on design, scope, and complexity. We have created themed spaces from $5,000 to over $800,000. Each design, big or small, serves the same purpose: relaxing your patients and increasing new patient referrals.


Explore Your Financing Options

Not all of our clients just have $100,000 burning a hole in their pocket. The majority finance their theming through local funders. IDS products can be included in your building cost, which makes talking to your bank easy. Bank of America has been a fan of IDS for years and specializes in loans for dentists.

Adding theming into your marketing budget can work as well. After all, theming has proven to be more helpful at gaining new patients than traditional advertising such as newspaper ads, TV commercials, and radio spots.

Stay on Budget with Multi-Stage Theming

You can also consider multi-stage theming – get your favorite pieces now and do a second install later as your budget allows. We have seen a number of clients use this option successfully and theme in stages according to their budget and circumstances. Start in the reception area and add to the treatment area later, or add a gaming tablet before adding a whole play area. Do what works best for you.

If you’re a new grad who wants theming but is just starting out then we recommend theming in stages as well. You can start small with murals, a brushing mirror, and even a photo op to help promote your business. We’ll be ready to add more when you are! We can even draw sketches for your office with a final stage in mind so you know that your early theming will fit your expansion as you continue to theme.

An important aspect to remember about IDS theming is that our murals and 3D sculptures are built to last. Old pieces will stand the test of time and look great next to new additions, allowing you to have a cohesive look as you expand.

Our steel-reinforced props are hard coated with the toughest and most durable protective coating in the industry. It flexes with the weight of active kids and stands up to their abuse. Dr. Joe Nguyen has been a fan of ours for many years now. He first contacted us in 2014 to get a few brushing mirrors and a mural. Since then he has themed 3 of his locations from top to bottom, creating some of our favorite underwater themed offices. Tour an Underwater Themed Dental Office

My name’s Dr. Joe, I opened three clinics here in Houston. Started in 2014, knew I wanted something different, unique, definitely want that wow-factor when patients step through the door. Did a little research online, stumbled upon Imagination Dental Solutions (Imagination Design Studios). Picked up the phone, gave them a call and been doing business with them for five years.

The thing that jumps out right away is the different characters that they use, the colors, it’s vibrant. It feels like they’re jumping out at you, it feels really real, feels like you’re going to a theme park and all kids love theme parks!

So you can bring that to your dental office, they’ll definitely come through the door. My first reaction to the final product I was filled with joy! They exceeded all my expectations, the process was very smooth, and everybody was really helpful! They answered all my questions.

Getting into this project, I knew it was a big risk, but after seeing the result of the first practice the second and the third was a no-brainer. It’s a really safe investment, you’ll get your return plus a lot more in return! You truly get what you pay for. Their quality is really good, service is great, it’s not like once they install they’re done. They follow up with you, want to make sure you’re ok. If you have any issues, they come back & fix it for you.

Even though they’re not located in my city, the communication was really good. I don’t want to let that be something that deters you from using them.

Also, with the price too, because you can see the difference in the quality. Just everything, you can tell they’re at the top of the game. There’s other people out there who try to copy them, but it’s totally different, you see it. 

So if you’re looking for something that is truly unique and has that wow-factor, and captures people’s attention when they first some though the clinic, without a doubt, don’t hesitate. I definitely would recommend using Imagination Design Studios because it’s worth every penny!

Scott Savel owns several successful dental offices. IDS has themed three of those locations – you can see his first space themed family dental office and second space themed pediatric dental office in our gallery. On our most recent install, we sat down and chatted with Scott about what he thinks about theming.

IDS: How many themed offices have you done with IDS?

Scott Savel: This is my third IDS office.

IDS: Do you have more plans for expanding into new locations with more theming?

Scott Savel: Yeah, we found that theming has been instrumental in our success, we’re definitely planning on opening multiple offices and using theming for all of them.

IDS: Is the IDS theming helping you expand faster?

Scott Savel: Tremendous difference. We found that by making the investment, that it sets us apart, especially in pediatrics. We walk into an area and we’re a “category-killer” in that area.

IDS: What’s your favorite part of your office? Favorite prop, room, etc.?

Scott Savel: You know it’s hard to say, all the stuff they do is so cool. I mean every time I do it, it’s amazing, but we tend to center and focus on the game room and the front desk, so I would have to say the game rooms are always the coolest.

IDS: Have your patients or their parents commented on your theming? What have they said?

Scott Savel: They can’t believe it. They’ve never seen a dental office like this before and they wish they had something like that for them. In fact, we’ve used the IDS concept in order to bring in adult patients. So, we market to the children but, we hopefully are able to book the parents when they come in as well.

IDS: How do you like working with IDS, what do you think of IDS?

Scott Savel: Hands down IDS is an incredible company. They’re reliable, they’re super, super organized, they’re incredibly creative, they can handle any need you could possibly want. I’ve always been amazed how they could be out of state or even out of the country in this case and be able to coordinate this job to such perfection. Hands down, they have it down completely, it’s always seamless.

IDS: What do you think are the benefits of office theming?

Scott Savel: Office theming as I said previously, sets you apart. It gives you something. If you look at dentistry as a whole, most dentistry offices are always the same, but the theming sets you apart, it definitely jumpstarts the business.

IDS: Would you recommend IDS and theming to your friends?

Scott Savel: Well no one that’s local, I don’t want any competition! But if you’re gonna open up out of state, I would definitely recommend IDS.

IDS: Do your employees get into the theme, and have they enjoyed their work in that environment?

Scott Savel: Every time I open a new office, every one of my employees wants to work in the new office. They’re always so cool and so different and every time we do it, it just gets better and better. We work off of our original idea, and we go from there.

IDS: How do you feel about the quality of the product IDS provides you?

Scott Savel: It’s hands down incredible. The way they actually manufacture the products and if you really look at what they do a lot of it is just hand done. It’s almost like they’re artists. Of course, the installation teams that come in are incredible as well. Literally, no stone is left unturned and they work with you to make sure you’re completely satisfied until the job is done.

IDS: Have you ever received patient referrals from current patients due to the new IDS theming?

Scott Savel: Of course. People see it all the time. Not only that, but IDS helps us with our marketing. You know, a lot of people advertise in newspapers or look to radio, but we’re a real visual concept now. We’ve developed television commercials and certain kinds of billboard advertising that really shows the visual concept and how it sets us apart from everybody else.

IDS: Has your practice increased due to passersby, foot-traffic, and vehicles seeing your theming and bringing new kids to you?

Scott Savel: It’s not even close, absolutely. Every time we open up an IDS themed office, we are jump-started from the get-go. Right away people see it, they walk in, they’ve never seen anything like it, they’re blown away, they can’t even believe it’s a dental office.

IDS: Did you get good value for your money?

Scott Savel: Absolutely. You know, it’s all relative, no one can build what IDS does, no one can do what they do. So, it’s definitely good value because even though the upfront costs are sometimes not small, depending on how deep you wanna go and there’s no end to what you can do with these guys, they can do anything. The point is that when you’re a dentist, you’ll be in business for 15, 20, 30 years, so if you amortize those costs over that time, it actually comes out very cheap compared to how fast you’re building your business.

IDS: If you could plan a whole new office, what theme would you go with?

Scott Savel: Well it’s interesting. I’ve been working with IDS for a while and I’ve done jungle themes and I’ve done space themes. But I gotta say, at the end of the day, our company is called Super Smiles and I like the space theme personally because it transcends to adults and to children, everybody loves it.

IDS: Last question here, if you could get IDS to make anything: the sky is the limit, doesn’t matter cost, your imagination, what would you get them to make?

Scott Savel: They have some people outside the New York area, where obviously real estate is a lot cheaper, where they’re taking large buildings and warehouse space. I’m dying to do an office where I could do the outside of it, because I just believe that is the coolest thing ever that they do. I haven’t done that yet, it’s all been interior work, but if I could own a building and do a complete outside job, which brings people in, inside and out, that would be something I would love to coordinate with them.

Visiting a dentist’s office can be an intimidating experience for children, but with the right approach, it can become a moment of fun, learning, and even excitement! By focusing on engaging, entertaining, and educating young patients, your practice can transform into a space where kids feel at ease and even look forward to their visits. Here’s how:

Engage Children

Passively sitting and waiting for an appointment can cause anxiety to grow, especially for children. At IDS, we believe in engaging kids’ minds and bodies to keep them calm, distracted, and entertained, creating positive memories they’ll associate with your office.

Imagine walking into a space where children can explore, learn, and play while they wait. By providing interactive activities that stimulate curiosity and creativity, you can turn what might be a stressful experience into something they enjoy.

Entertain Children

Time flies when you’re having fun! This phrase exists for a reason. The busier someone is during a time interval, the faster that time interval will feel like it has passed. There is a lot less time for a child to get anxious, bored, or build up tension about an upcoming procedure if they are lost in play.

Educate Children

Last, but not least, we want to encourage the education of your patients when they visit your office. While making sure kids are having fun is our main goal, we want to ensure that we have an impact on the health of children as well.

Chair-side education is the current model for delivering information to patients. But is this the best way for them to absorb information? Studies show that using passive learning vs active learning creates a stark contrast in the retention of a lesson.

Many studies have found that, while individuals have various learning styles, on average people remember 90% of what they do compared to 20% of what they hear. 

When you were a student, did you learn more in a lecture hall or when you were actively working on a patient’s mouth? Kids are the same. Passive learning disempowers the student and takes the fun out of learning.

It is important that education is fun at a young age. Research has shown that if students do not consider a learning activity worthy of their time and effort, they might not engage or may even disengage all together in response (Fredricks, Blumenfeld, & Paris, 2004).

Waiting rooms are a place where children can experience hands-on learning through dental education kiosks and experiment with large replica teeth and other educational installations while still feeling as if they are just playing. IDS has lots of dental education ideas to share with you.

After creating this amazing 1920s style train themed office we returned to have a chat with the owner, Dr. Jed Snatic, to see how he and his patients feel about their new IDS pediatric dental office decor.

IDS: What have your patients and their parents said about the decor?

Dr. Snatic: Well when we were working with IDS to design this, we struggled with whether to go for a younger age or an older age, and as it progressed we decided to go for a more authentic train station, 1920s-era, and when we did that we found that everybody liked it, from grandpa right down to the one-year-old. They all love it!

IDS: And what do you personally think about the theme of the office?

Dr. Snatic: My partners and I couldn’t be prouder of the way it has come out. It’s so unique and it’s such a blast from the past, it’s almost like a tribute to the railroad days in early Alberta. Our shopping mall here is a train-themed (area), and it’s called Chestermere Station, so we couldn’t be happier with our investment.

IDS: What’s your favorite part of your new themed office?

Dr. Snatic: The train! I would say when we originally designing the office, ‘There’s no way you can make a train station without a train’ so really the engineering marvel was to put it up against the windows to allow room for it to fit into the space without it eating up all of our waiting room. As you may know, real estate is expensive here in Chestermere so I think the train is the bomb.

IDS: You recently moved into this space. Can you talk about expanding into this new location and how this encouraged you to theme your new office?

Dr. Snatic: Yes, well it was probably 2-2.5 years ago when it started to come to critical mass at our former office and we knew that would be running out of space. So we went looking and found this larger location. We wanted to attract a lot of specialists to work out of here, so spending extra on the waiting room, for the ‘pop’ to get the kids and the moms in and to enjoy the place, seemed like a worthwhile investment. In one year we’ve gone from, you know, a startup, to full-on busy and I’m sure we’ll have that same issue [with too many patients] within 2 to 3 years.

IDS: How do you think that the theming has helped your office?

Dr. Snatic: Oh, I’m sure everybody here thinks it’s been a huge success for the town of Chestermere and the area. The staff like it, the parents like it, and the kids love it the most.

IDS: Any final thoughts?

Dr. Snatic: Yup, I’d just like to thank the team at IDS for delivering just such a beautiful, beautiful place and something so unique and fun to work at that you actually enjoy driving to work every day.

That’s a huge feather in our caps and we couldn’t be happier with our investment, and so are our patients.

You already know you have an amazing office; now you need to make sure the world knows it. Marketing your practice is a key component to office promotion and having a marketing strategy is very important.

Many of our clients need a bit of guidance when it comes to marketing, so here is a quick vocabulary lesson on Marketing 101:

LOGO

Your logo is a graphic mark, emblem, or symbol that you use to aid and promote instant public recognition. It is a simple, but eye-catching image that represents your practice. This page features logo examples for three different IDS themes.

IDENTITY

Your identity consists of the materials you use to market your company. These include your logo, mascots, business cards, email signatures, websites, social media, ads, employee uniforms, office theming, and radio jingle to name a few.

BRAND

Your brand is what people think and feel when they hear about your office – an emotional and psychological relationship between a company and consumers. Your brand is what helps dictate what your identity should look like, and what people should feel when they see marketing materials you have made.

Theming by IDS is more than an adventure for your patients; it is an invaluable marketing tool for your business. Your theme becomes part of your brand, which in turn influences your identity. From a giant exterior Landmark down to a logo on a business card, your marketing strategy helps get your practice in front of your patients.

Start with your dental office logo; the most important part of your identity. At IDS, our most popular option for logo design is to match your logo to your theme… literally! I like to use a prominent character from an office theme and turn it into a logo. A good identity is about consistency. A themed logo creates an instant connection between your printed identity and your physical office. It also helps differentiate your office from the competition by showcasing what makes your practice special.

Businesses that target children have two audiences to cater to when choosing a logo: the adults who make the purchase and the children who want the product or service. A successful logo design connects with both. Use a fun character with bright colors to appeal to children while using clear legible text aimed at the parents.

If you are an established practice with an existing logo that your patients recognize, you don’t want to lose that recognition. In order to update the look and bring consistency to your identity, you can consider adding theming or characters to your existing logo.

Dr. Martin added his three new mascots to his existing “M” logo. He maintained his established recognition but gained a new identity as a fun practice for parents wanting an enjoyable dental office for their children.

Tips to Create a Visual Identity for Your Themed Office

Now to look at the rest of your identity. When I create a marketing package for a dental client I like to include a logo design, business cards, referral pad, letterhead and an optional envelope. This is a great starter pack for creating your ‘look,’ which will help when you expand into flyers, magazine ads, and signs.

Be consistent with your designs; use the same style of fonts, the same colors, and include your logo on everything. By keeping your graphics consistent your practice becomes more memorable and more likely to be at the front of potential clients’ minds.

How to Embrace and Promote Your Brand

Once you have a consistent identity, your brand will begin to take shape. A quick search of reviews for our existing customers’ offices brings up the same words and phrases: “friendly”, “fun”, “exciting”. Theming gives people a reason to think and talk about you in a positive way. Office theming is the perfect way to boost your brand and get your patients talking.

You should also express your brand across all communication mediums. Print, web, and social media are integral tools for marketing your practice.

Is your office all about fun? Post photos on your social media of your patients and staff posing with your props, wearing costumes, and participating in contests.

Is your office focused on education? Include a themed education station in your office and hold workshops with at-risk children. Your brand and identity will shape the way you interact with the public.

In previous blog posts we’ve discussed social media and offered a few ideas to get the ball rolling. However, sometimes it can be hard to manage all of your different social media profiles. 

Most dentists have a social media profile on Facebook, Twitter, and Instagram.

Here are some tips for relieving a little time and effort from your social media management by connecting your platforms together!

First, it is important to have an account specifically for your Facebook, Twitter, and Instagram. Having a presence on these platforms is vital for reaching existing clients and for finding new ones.

One of the simplest ways to post to each of your accounts is to connect all of your social media so that posting to one will cross-post to the others. This will make updating content easier and keep profile activity for your office social accounts evenly distributed.


Connect Instagram to Facebook:


Just follow these straightforward instructions on how to link Instagram to a Facebook page.

To share posts from your Instagram account to a Facebook Page:

  1. Go to your profile and tap .
  2. Tap  Settings.
  3. Tap Account > Linked Accounts, then select Facebook.
  4. If you haven’t already, enter your Facebook login information.
  5. By default, your Instagram account will share to your personal Facebook profile. To share to a Page instead, choose a Page that you manage below Share to.

If you are a fan of Instagram, you can set up your office social media account so that when you share with Facebook, the post will be shared with your business page instead of our own. By keeping a social media presence high on both Instagram and Facebook, you can reach more fans and garner interest in your business.


Connect Facebook to Twitter:

Just follow these straightforward instructions on how to link Twitter to Facebook.

  1. From your desktop computer, log in to the Twitter account you want to associate with your Facebook profile.
  2. Go to your Settings menu’s Apps tab.
  3. Click Connect to Facebook.
  4. If you are not already logged in to Facebook, then you will be prompted to enter your Facebook login credentials. Enter your credentials and click Log in to sign in to Facebook.
  5. You will then receive a prompt explaining that Twitter will receive certain information from your Facebook account. In order to continue, you must select Continue as [Facebook name].
  6. You will then be prompted to select the privacy settings for who will see your Tweets and Retweets posted to your Facebook wall. It is set to friends by default.
  7. Click OK to complete the process.
  8. Your Tweets and Retweets will now post to your profile Facebook wall and your username will be displayed there as well. Replies will not be posted.


Use third-party programs to post everywhere at once.

Hootsuite is a social media management platform. With it you can schedule posts in advance on all your platforms at once. The system’s user interface takes the form of a dashboard, and supports social network integrations for Twitter, Facebook, Instagram, LinkedIn, and YouTube. Best of all, it has a free version to try out first.

There are many more programs out there that provide a similar service with different costs associated with them. 


Social Media Tip!

Our previous blog post titled How Theming Creates the Ultimate Brand for Your Business, discussed the importance of a unified brand and how theming can help. Social Media is no different. To keep your office brand consistent, create a set of house-rules for each social media profile so that you know what sort of content to post to each. Some accounts might be more professional than others, or include specific themes or colors in every post.
