What Does Your Reception and Lobby Say to Guests?

What do you look at when you walk into someone’s home? Is it the flooring, the paint, the artwork? What you are doing in those moments is making a judgment on the space you’ve entered and how you feel in it.

As a hospitality provider, you are hosting your guests’ home away from home. They may stay for just the evening or perhaps a few weeks, but their first few moments in your space can make or break their impression of your business for the remainder of their stay.

The Significance of a Thoughtfully Designed Lobby

Within the first seven seconds of meeting, people will have a solid impression of who you are – and some research suggests a tenth of a second is all it takes to start determining traits like trustworthiness.

It’s all about your visitors. Your lobby is the first place your guests have will have contact with the face of your company, and as such, plays a significant role in influencing the first impression they make of your business. Make them feel welcome!

Consider what they are stepping into –the heart of your space. Your lobby and reception space is a place for them to check-in and out, socialize, relax, wait for a ride, or catch up on some work. Encouraging these connective activities by ensuring the space is designed with comfort, quality, appeal, and functionality can communicate that this space was created for them.

But you do have to ask, what design elements in your lobby will invoke these welcoming feelings?

What Should Your Lobby Look Like?

Do you have a trendy hotel restaurant, a family-friendly resort, or an experiential bar? To secure satisfaction amongst your guests you must stimulate their imagination in relation to your brand and what you do through your design.

Whether you are building from scratch or looking to enhance your lobby space, start by asking yourself these questions in relevance to who you are as a company:

  • Who is my clientele? Who are the people you need to connect with? Aim to connect with them on a multitude of sensory levels (i.e., eyesight, touch, smell, sound) through the design of your space. Remember to consider their abilities and factor accessibility and functionality into your design.  
  • What emotions do you want to provoke in your guests? Are you wanting your guests to feel curious, excited, cheery, amused, relaxed, etc.?
  • How would you like to capture their attention? Is it with an out-of-the-box wow factor, cozy furniture, a grand roaring fireplace, sleek decor, or mood lighting?
  • What expectations do you want to establish? How should guests expect to feel heading into your establishment after their encounter in your welcome area, or what can they be sure to experience if they choose to return?

Once you have established these elements, you can add your design flair to show them who you are.

Benefits of a Recognizable and Branded Themed Lobby

Build a space that forges lasting emotional connections between you and your customers by adding brand activations.

A brand activation is an interaction with your brand that is intentionally implemented to create awareness and connect with your target audience on an exclusive level. Brand activations are an experience.

Take a peek at this Lipton Tea slip & slide that was assembled in downtown London early on a Friday morning. It was set up to encourage commuters to #BeADaybreaker, have a bit fun of on their way to work, and take a slip down the slide. This brought a ton of smiles to sliders’ faces, gave them a fun interaction on a Friday morning, and a memory associated with the Lipton brand to take with them.

This is an extreme example of course. Basically, if a consumer is physically engaging with a brand in any way, such as interacting with a photo op or getting swag from the team on a parade float, you have created an experience for your audience.

Including options to download and fill out required paperwork during booking is a big bonus as well to many online booking systems. The ability for clients to fill out paperwork at their leisure before an appointment will also save your staff time during the check-in process.

Make Bringing Kids to an Appointment More Convenient by Using a Fun Environment

While you can add many online conveniences for your patients, at some point they will have to come to you in person.

You must be intentional about creating ‘share-worthy’ moments along the way. Beautiful spaces, photo opportunities, and giving people the time to take a second without rushing them through your business will encourage them to share. When done right, your brand benefits from being shared (endorsed) by customers on a daily basis.

Think about the last time you booked an Airbnb or VRBO – what did you do first, read the reviews or scan the photos?  (My bet is photos first.) Or, have you ever considered purchasing a piece for furniture or home decor online and explored the customer photos, so you could see how the item looks in a real-life setting? There’s no doubt, as humans we are wired to give preference to visual content to gain the insights we’re seeking.

Whether you operate a healthcare facility, hospitality venue, or a tourism destination, it’s critical to offer your customers a variety of visually interesting moments that capture their experience and are primed for sharing on social media – either as photos or video.

Today we’re talking to Dr. Brett Pack and following up with him 2 years after we installed underwater theming in Moses Lake Community Health Center. Find out how the center has benefited from the addition of fun and colorful themed decor.

IDS: Why did you decide to add theming to your space?

Dr. Pack: We decided to add theming to our space because we wanted to do something that would set us apart from the other clinics around us and in town. We really wanted to add theming to make our clinic an inviting place for the kids to want to come and get their dental care. Obviously, dental care can be a scary thing for a lot of people and we really wanted to take some of that fear out of it by making it a fun and inviting atmosphere.

IDS: How has theming helped the Community Health Center?

Dr. Pack: I think it helped give us an identity. A lot of people don’t know about Community Health Centers and a lot of people in our town don’t know that we’re even located here up on the hill. I feel like the theming we’ve done helps people to know that we’re here and put us on the map in Moses Lake.

IDS: Do you find that patients are more relaxed when entering the Community Health Center?

Dr. Pack: Definitely! I think that they are a lot more relaxed. This environment has a lot more color, it’s a lot more inviting, and they come in and they’re just wowed by all of the theming. That makes it easier for them to be relaxed about getting dental care. 

IDS: How would you describe the reactions from patients when they come into the office for the first time?

Dr. Pack: The patients are in awe, and not just the kids, the adults also. When they first walk in and they start going up the stairs and they see the whales they just light up. They’re amazed and they can’t stop talking about it. When they come back to the operatory and we let them back in the back they often comment on how amazing it is and how they really love the theming.   

IDS: Are you gaining new patients as a direct response to theming?

Dr. Pack: That’s really hard to quantify but I would say that we are. I think that anytime you get good word-of-mouth from current patients that that helps bring in other patients. Our schedules are full at the Moses Lake location and they keep getting fuller. Our dentists are very busy, our hygienists are very busy and we’re getting new patients pretty much every day. In fact, we’re getting so many new patients that sometimes it’s hard to find places on the schedule for them.

IDS: What has the staff’s response been?

Dr. Pack: The staff takes a lot of pride in our clinic. They love our space. They feel blessed to have it. Especially all of us that were here in our old space. Our old space was much darker, lacking in color, it was more stark and sterile. This is definitely something for the staff to be proud of and I think that they are. Everybody works really hard to keep all of our equipment and finishings very nice so it looks new. We’re about two years in and it still looks like the day they put it in. 

IDS: How do you personally feel seeing the theming every day?

Dr. Pack: It makes me smile. It makes me happy. I was heavily involved in the planning process, and I’ve been here for many years so I remember what we were like downstairs and even though we had a professional work environment it was just different. Every day I come up here and I’m happy to be here. I feel blessed to have this nice clinic and the theming just really adds to that. I think it just makes it a more professional space. 

IDS: What previous issues has theming helped solve?

Dr. Pack: I would say that we have a lot of anxiety. A lot of patients come in for dental emergencies, we see a lot of kids. I would say this has definitely helped reduce their anxiety, give them something to get their mind off the procedures and their fears, and really focus on something fun and upbeat. So I think it has done a good job in helping our patients feel more comfortable in our clinics. And like I said about identity. I feel like it helps give us an identity and sets us apart from the many dental clinics that are around, and other health centers that are around also.

IDS: Would you consider adding more theming to other areas in the future?

Dr. Pack: Definitely! We have talked about adding more theming to other areas. I think it makes the space more professional, more inviting, and I would like to see it continued not only in other spaces here in Moses Lake but at our other clinics as well. We would like to do something in Quincey to make that space very inviting for the kids and for the families. So definitely would want to add more. I would like to add some finishing touches to some of the things that we’ve done here. Maybe add a few more characters in the back office to match with the operatory and murals we have in there.  

IDS: What do you think are the most important benefits of theming?

Dr. Pack: The most important benefit of theming is the effect that it has on the families, and especially the kids. They love coming here, they love seeing the characters and they love interacting with the toys. It just makes it a place they want to come to and they want to be. That makes doing dentistry easier because they’re focusing on some things that they think are less scary and that allows us to do the work that’s so important. It helps us to really improve their oral health because this is a place that they want to come to and they want to keep their appointments, they want to come back. The parents don’t have a hard time when their kids want to come to their dental appointment.

IDS: How was your experience working with IDS?

Dr. Pack: IDS was really great to work with. They listened to us, they listened to our concerns, they gave us great ideas. When we were first trying to decide what we wanted to do and they came back with some of the under-the-sea drawings, we had some concerns that maybe it would be too kid-friendly and uninviting for adults. They took that into account and they used that in their design. I think we came up with something that is very inviting for adults and families, not just the kids. They were awesome to work with and they came up with an amazing product.

IDS: What do you think of the quality?

Dr. Pack: The quality is amazing. I initially thought “it’s going to be some kind of foam” and I thought “how is this going to hold up” and I had some concerns, but honestly it looks brand new. We have some areas that the kids really interact with. Our look-out mast that is a round circular sea with the turtle and spyglass – the kids just climb all over it. You would think that it would look kind of beat up after two years but it looks brand new. So the quality is very high, it holds up well, it looks amazing.

IDS: Would you recommend IDS?

Dr. Pack: I would recommend IDS for anybody that was putting some kind of medical clinic together. I would recommend it for anybody that is trying to cater to kids and their needs and their unique personalities. So definitely.

With those kinds of numbers and a sizable portion of those commuters spending an hour or more in their car, marketing on the road might just be your best chance at reaching a large audience without spending exorbitant amounts of money on marketing.

But how do you best catch the eye of the average driver? What info do you want to get across to a potential patient in that brief moment? How do you communicate that info effectively when you only have a captive audience for mere seconds?

Be Clear and Concise with The Contact Info Displayed on Your Vehicle

Choosing what info you want to get across in that short time is pivotal. Make sure your logo, phone number, and URL are visible to drivers on all sides so no matter where in traffic you are drivers know where to reach you.

Make Your Vehicle Stand Out from the Crowd (and Traffic)

While there’s nothing wrong with a simple sticker printed of your logo and stuck on your rear-view window, there’s a high chance you may drive past a potential patient before they have time to notice it. Simple stickers are as forgettable as they are understated.

To really maximize the potential effectiveness of vehicle wrapping, you need to think bold! Bright colors from sunroof to wheel well, roof-mounted sculptures, and both URL and phone contact methods all contribute to a far more memorable traveling billboard experience. With such a small window of impact, you gotta go all the way!

You may only have a few seconds in the eyes of a fellow driver unless you’re stuck in a traffic jam, so you want to get noticed and be memorable.

Visual storytelling is a great way to decorate your front reception. In this exciting pirate themed example, kids and parents alike will love the eager crocodile gazing at the eye-patch clad turtle – a great character to grab a photo with while waiting for their appointment. In the background mural, we see a pirate ship silhouette. Is it a pirate ship full of pirate turtles? Who knows! It leaves enough to the imagination to excite any child waiting for their checkup.

These eight color profiles provide an overview of popular colors and their unique “personalities”. Keep in mind that certain tones and hues can be adapted and mixed to create the exact vibe you’re going for, but on their own, each color has its own distinct power.


1.  Blue

Think caaaaalm and tranquility. Blue ranks high in popularity on the color grid due to its versatility and vast array of beautiful shades. It’s an easy choice for any office space. We feel relaxed just thinking about it!

A blue environment is soothing and creates a feeling of serenity and peace. It’s also common to experience a lowering of blood pressure when looking at the color blue– and in tough or scary situations especially for kids and nervous parents, lower blood pressure is a huge bonus. 2. Brown

Looking for an earthy, inviting vibe? Go with shades of brown! A brown themed color scheme has a natural, cozy feeling that helps patients slow down and relax.

Deeper, richer browns can also create feelings of togetherness and intimacy. An expert tip when working with browns is not to underestimate its ability as a base color. Brown tones love to blend in with other textures or colors, so it’s easy to mix and match with alternative designs you like. Brown tones are great for creating cozy woodland themed spaces.


3. Gray

While it’s easy to see gray as a dull or overly serious color, its superpower is as a perfect wash of relaxation. Like blue, grey has a calming presence known to lower blood pressure and create an environment of serenity that your patients will love.

In addition, grey is a perfect neutral color. It acts as a great background color or can be used as an accent to brighten more vibrant hues around it. A grey treatment room with a brightly colored chair can look very sleek and modern.

We’re green with envy if you choose a green themed office! Green is another popular choice that inspires vitality and makes your patients feel more in tune with nature. It’s a great stress-relieving color, and any and all shades will always feel fresh and clean.

Lush, light tones can encourage feelings of playfulness and vitality, while richer hues feel restful and safe.

Green doesn’t just have to be a paint or chair color, it can be found in plants and scenery. Luscious jungle scenes come to life with green plants and trees.


5. Orange

Orange is a loud and excitable color, so use it with caution! Stimulating and bright, this summery hue encourages action. This unbeatable energy often works better as an entryway or transitional color to bring the mood up when first entering the office, but not always the best choice throughout. It works great as an accent color in safari themed spaces for kids.


6. Yellow

Yellow is energizing in all the right ways. If you are looking for a bright, warm pop of color for your space, yellow is the best choice to do so. Yellow works to open the mind and increases mental productivity through its energizing demeanor without becoming overwhelming. Is there a happier color out there? We don’t think so! Try it in a warm backyard scene.

Try using shades of yellow in accent decor like throw pillows or wall art. Paint the walls in a consultation room or staff break room, not necessarily your treatment area – yellow still has a particular connotation when it comes to dentistry – no one wants yellow teeth!


7. Purple

If you want your dental or medical office to feel modern or mysterious, purple is the color for you. Darker tones like plum or mauve can create a sophisticated atmosphere whereas softer lilac and lavender feel chic and relaxing. Purple is a great accent color – either for an accent wall or for decor pieces around your office.

Bright purple is great if you want to create an outer space or magical fantasy feel for a kids area in your office.


8. Red

Red is a cannonball of adrenaline for any space. Like orange, this powerful color often works better as a transitional or accent color so as not to conjure up feelings of aggression or stress. Red is often associated with anger (or a blood tooth, ick), so use this hue sparingly. Pair it with other warm colors, like shades of brown, to create a warm cozy atmosphere. Pair it with white for a bold statement. Use it in western or barn themed office spaces for a warm and cozy space for children.


CHOOSE WISELY AND DON’T BE AFRAID TO MIX

While it’s easy to want to choose just one color, we recommend that you select a few bright shades in addition to a dominant, neutral color to cover the largest space in your office. Go for a simple base like grey or white and use accent hues that create specific moods or tones to craft the perfect vibe for your office.
